Collection and use of data

When you register for an in-person or virtual event, we need to collect personal and/or business information from you in order to fulfill event-related arrangements. The nature of the event determines what information we collect and use. Information collected will only be used for event-related purposes and will be retained for as long as it is needed to fulfill these purposes.

To fulfill event-related arrangements on your behalf, it may be necessary to share personal and/or business information with a third party-vendor. Information will only be transferred to bank-approved vendors. All vendors have agreed to use information collected solely for purposes related to the event and to only retain information for as long as it is needed to fulfill these purposes. We will inform you when vendors will seek to collect information from you directly for purposes related to the event. The vendor’s own information-handling policies and practices will govern the collection and use of the information you provide to them directly. Some examples of when we may need to share information with a third party are booking of accommodations and related services at hotels and event venues; honouring dietary preferences; reservation of travel; providing access to a virtual event platform; and, delivering electronic or physical gifts.
